Refund and Cancellation Policy

This page explains how cancellations and refunds are handled for MedicalRide.org bookings.

Book Now card authorizations

In the Book Now workflow, MedicalRide.org may authorize your card when you submit the request. An authorization is not a completed charge. It helps hold the booking while trusted providers review the ride at the shown price.

If no provider is confirmed, the card authorization is not captured by MedicalRide.org. Your bank or card issuer controls how quickly an authorization falls away.

After a provider confirms

Once a provider confirms the ride and payment is completed or captured, provider-specific cancellation and no-show rules may apply. Those details are included in your confirmation whenever available.

If MedicalRide.org collected a deposit for sourcing and coordinating the request, that deposit is non-refundable once we begin working the request because MedicalRide.org invests time and resources to source each ride. If MedicalRide.org is unable to confirm a provider for the request, the deposit is automatically refunded.

Provider-direct and marketplace quote payments

In provider-direct or marketplace quote workflows, a provider may submit its own payment link, payment instructions, cancellation policy, offer expiration, no-show rule, and refund terms. If you pay a provider directly or through a provider-supplied payment link, refunds, chargebacks, receipts, payment errors, and cancellation outcomes are generally handled under that provider's disclosed policy and the rules of the provider's payment processor.

MedicalRide.org may help document, communicate, escalate, or review a provider-direct payment or refund issue when practical, but MedicalRide.org does not control a provider's third-party payment link, merchant account, cancellation decision, refund timing, or bank processing timeline unless MedicalRide.org processed the payment directly.

Changes and cancellations

If you need to change or cancel a ride, contact support as soon as possible at (347) 450-9450 text only. We will work with the provider and let you know what fees or restrictions apply.

Provider cancellation rules, no-show rules, late-change fees, wait-time fees, and minimum compensation may still apply after a provider accepts a ride, especially when the provider has reserved a vehicle, crew, or dispatch slot. MedicalRide.org may review available records and communications to decide whether any MedicalRide.org-processed payment, provider payout, platform fee, provider invoice, refund, or account credit is appropriate.

MedicalRide.org's deposit covers the sourcing and coordination work behind the request, so it is not refundable just because a ride is later canceled after that work has started. If no provider is confirmed at all, the deposit is automatically refunded.
