Build your profile
Tell us your company contacts, travel modes, clinician types, services and pickup/destination countries.

Operations reviews it
Applications are reviewed before future automatic outreach. Every provider remains responsible for its own qualifications and clinical acceptance.

Quote, contact, or both
Approved opportunities arrive by email, SMS or both, as you choose. Accept the disclosed terms, share pricing for the patient to compare, or contact them using their saved preference. Phone calls use a private MedicalRide extension; no dashboard login is required.

Report the booking later
Return to the same secure request link when the client decides. An initial booking carries the disclosed one-time 5% fee, invoiced separately and due in 30 days. No booking, no fee.
MedicalRide connects requesters with independent companies; it does not provide medical care, employ your clinicians, determine fitness to travel or guarantee airline acceptance. Learn about medical escort services and international journeys.

Is there a fee to enroll as a medical escort provider?
No. Medical escort provider enrollment is free.
There is no monthly enrollment fee and no charge simply to receive or review MedicalRide opportunities.
A one-time 5% success fee applies only when an accepted MedicalRide introduction results in an initial booking with your company.
Do we pay anything just to receive a referral?
No.
There is no fee to:
- Receive an enquiry
- Review the journey
- Assess whether your company can assist
- Contact the prospective client through the permitted contact method
- Submit an estimate or quotation
- Decline an opportunity
No booking, no success fee.
When does the 5% success fee apply?
The fee applies when a MedicalRide introduction that your company elects to pursue results in an initial confirmed service booking with your company.
The fee is calculated as 5% of the total initial booked service price agreed with the client, including travel, transfers, or other services included in that booking.
Example:
If the initial booked service total is $10,000, the MedicalRide success fee is $500.
What if the patient asks for a quote but never books?
There is no fee.
An estimate, quotation, telephone conversation, email exchange, or expression of interest is not a booking.
The success fee applies only if the introduction results in an actual initial booking.
What if the patient cancels?
It depends on when the cancellation occurs and what happens financially.
If the patient cancels before a booking is confirmed: There is no success fee.
If a booking was confirmed and the patient later cancels: Notify MedicalRide at support@medicalride.org with the request reference.
MedicalRide will review the circumstances, including whether the booking was canceled, whether the Provider retained or received any payment, and whether an invoice has already been issued or paid.
An unpaid invoice may be voided or adjusted where appropriate. If an invoice has already been paid, any appropriate adjustment is handled through a credit or refund review.
A cancellation after a confirmed booking does not automatically cancel the success fee, but MedicalRide will review genuine cancellation situations rather than treating every canceled journey as a completed service.
What if the patient cancels and we refund them completely?
Contact MedicalRide with the request reference and relevant booking information.
If the service does not proceed and the customer's payment is fully returned, MedicalRide can review the related success-fee invoice for an appropriate adjustment, credit, or cancellation.
Do not simply report the original booking as "Not booked" after it has already been confirmed. Report the change so the booking history remains accurate.
What if we charge the patient a cancellation fee?
Tell MedicalRide what occurred.
Cancellation cases are reviewed individually because the commercial outcome may differ depending on whether your company retained a cancellation charge, incurred non-refundable travel expenses, or refunded the customer.
MedicalRide will review the evidence and determine whether an adjustment to the success fee is appropriate under the applicable referral terms.
What if the patient changes the travel date after booking?
A normal rescheduling of the same initial journey does not create another MedicalRide success fee.
If the booking remains the same underlying service arrangement, the one-time fee continues to apply only once.
Material changes to the original booking can be reviewed with MedicalRide if there is any uncertainty.
What if the patient pays us in installments?
The success fee is still charged only once.
The 5% fee is based on the total initial booked service price, regardless of whether your company collects that amount in one payment or several installments.
MedicalRide does not charge an additional success fee each time the patient makes a payment.
What if the customer books directly with us after MedicalRide introduced them?
If the MedicalRide introduction leads to the initial booking, the applicable success fee still applies even if the final arrangements or payment are completed directly between your company and the client.
Your company remains free to communicate directly with the client where authorized and collects its service payment directly.
MedicalRide does not need to process the customer's payment for the referral fee to apply.
What if the patient contacts us weeks later?
If the booking results from the MedicalRide introduction covered by the applicable referral terms, please report the booking using the original secure request link or contact MedicalRide.
A delay between introduction and booking does not by itself make the referral unrelated.
If there is genuine uncertainty about whether a later booking arose from the MedicalRide introduction, contact us and we will review it.
Do we pay 5% on repeat business from the same patient?
The success fee described for the referral applies to the initial booking resulting from the MedicalRide introduction.
There is no automatic additional MedicalRide fee merely because the patient later makes additional payments under that same initial booking.
If a future, separate referral or booking is sent through MedicalRide, the terms disclosed for that opportunity will apply.
Who determines our price?
You do.
MedicalRide does not set your quotation or require you to use a particular rate.
Your company independently decides:
- Whether to pursue an opportunity
- Whether you have availability
- What service arrangement to propose
- What price to charge
- What payment and cancellation conditions to offer
The customer may receive options from multiple independent providers.
Does MedicalRide collect the customer's payment?
Not under this referral model.
The Provider agrees its price directly with the customer and collects payment directly from the customer.
MedicalRide separately invoices the Provider for the applicable success fee after a booking is confirmed.
When is the MedicalRide invoice due?
A success-fee invoice is due 30 calendar days after issuance.
Accepting the Provider Participation Agreement does not authorize MedicalRide to automatically charge your bank account, credit card, or another payment method.
What if we disagree with an invoice?
Contact support@medicalride.org and include the MedicalRide request reference.
Explain the issue and provide any relevant information about the booking, cancellation, agreed amount, or other circumstances.
MedicalRide will review the records and supporting information before determining whether the invoice should remain, be corrected, be voided if unpaid, or be considered for a credit/refund if already paid.
Do we have to quote every request we receive?
No.
Every opportunity is optional.
You may review a request and decide that:
- You are unavailable
- The geography is outside your coverage
- The case is outside your scope
- The proposed journey is not operationally appropriate
- You simply do not wish to pursue it
Declining an opportunity does not create a fee.
Can we submit an estimate instead of a final quote?
Yes.
The MedicalRide quotation form allows you to identify your response as an Estimate or a Quote.
Use an estimate when important variables such as travel dates, airfare, ground arrangements, clinical requirements, or availability still need confirmation.
Where possible, explain important assumptions, inclusions, exclusions, or validity periods so the customer can compare options accurately.
Do we have to provide a detailed cost breakdown?
No.
The Provider quotation form is intentionally simple.
You may submit a total price and optionally identify important inclusions such as:
- Patient airfare
- Medical escort airfare
- Companion airfare
- Ground transportation
- Medical assessment/travel planning
- Equipment
- Travel expenses/accommodation
Detailed internal pricing, clinician rates, margins, or cost structures are not required.
Does submitting a quote guarantee the job?
No.
Customers may receive more than one option and may take time to decide.
Submitting a quotation does not create a booking, guarantee selection, or generate an invoice.
The success fee is triggered only when the initial service is actually booked.
Does enrollment guarantee referrals?
No.
Enrollment allows MedicalRide to consider your company for future enquiries based on factors such as:
- Geographic coverage
- Requested service
- Medical escort capabilities
- Journey requirements
- Provider availability information
- Other operational considerations
MedicalRide does not guarantee any minimum volume of leads or bookings.
Does MedicalRide determine whether the patient is fit to fly?
No.
MedicalRide is a referral and coordination platform and does not determine clinical fitness for travel.
The selected Provider, treating professionals, and relevant airline processes remain responsible for determining clinical suitability, staffing requirements, required equipment, and any necessary airline medical clearance.
Customer information supplied through MedicalRide should be treated as information for assessment, not as a clinical determination.
Does MedicalRide guarantee airline approval?
No.
Airline acceptance and any required medical clearance remain subject to the applicable airline's requirements and the Provider's clinical and operational review.
A MedicalRide request, estimate, or quotation does not constitute airline approval.
Are we responsible for our own licenses and insurance?
Yes.
Each Provider remains independently responsible for maintaining any licenses, professional credentials, registrations, insurance, permissions, and lawful authority required for the services it offers.
MedicalRide enrollment does not replace these obligations.
Will MedicalRide verify our company?
MedicalRide may review provider information as part of enrollment and may request supporting documentation.
However, enrollment itself should not be interpreted as MedicalRide certification, accreditation, or approval of clinical services.
Where MedicalRide has completed a specific verification, that status may be separately identified.
Providers remain responsible for keeping their information and credentials current.
Can we contact the patient directly?
Where the patient has authorized direct contact, yes.
MedicalRide may allow the customer to authorize:
- Email contact
- Telephone contact
- Both
Telephone calls may use MedicalRide's privacy-protective telephone system rather than revealing the patient's direct telephone number.
Providers must use customer information only for the relevant referral and service arrangements.
Can we market other services to patients referred by MedicalRide?
Not using information supplied through MedicalRide without an appropriate independent basis and applicable permission.
Request information should be used to assess, arrange, and provide the service associated with the customer's enquiry.
It should not be used for unrelated marketing, mailing lists, resale, or unnecessary disclosure.
Can the patient choose another provider after speaking with us?
Yes.
MedicalRide may introduce the customer to multiple potentially suitable providers.
The customer remains free to compare available arrangements and choose the provider they prefer.
There is no fee if your company is not booked.
What if we cannot reach the patient?
Return to the secure request link and report Could not reach.
No success fee is generated simply because you attempted to contact the patient.
What if discussions are still ongoing?
Select Still discussing.
That tells MedicalRide that the opportunity remains active without treating it as a booking.
Once the outcome is known, update the same request.
What should we do when the patient books?
Return to the secure request link and select Booked.
Enter:
- The agreed initial service total
- Currency
This lets MedicalRide:
- Record the successful booking
- Stop unnecessary additional provider outreach
- Calculate the disclosed 5% success fee
- Issue the applicable invoice
Please report the actual agreed initial booking amount accurately.
Are government-funded or insurance-funded cases included?
The standard MedicalRide medical escort referral arrangement is intended for eligible private-pay opportunities.
Providers should not proceed under the percentage-based success-fee arrangement where referral compensation would be restricted or prohibited by applicable government healthcare, insurance, regulatory, or other requirements.
If you believe an opportunity presents such a restriction, contact MedicalRide before proceeding under the referral-fee arrangement.
Can we stop receiving MedicalRide opportunities?
Yes.
You can:
- Decline any individual request
- Ask MedicalRide to update your geographic or service coverage
- Use the outreach preference link
- Reply REMOVE
- Contact support@medicalride.org
Enrollment is voluntary and nonexclusive.
Opting out of future opportunities does not cancel valid obligations arising from a previously accepted referral that resulted in a booking.
Can we update our provider profile or coverage later?
Yes.
Medical escort capabilities, geographic coverage, operating bases, contact information, and other provider details can change.

Accurate coverage helps MedicalRide send your company more relevant opportunities.
Is medical escort enrollment connected to MedicalRide's ground transportation membership?
No.
Medical escort provider enrollment is separate from MedicalRide's ground NEMT membership and any home-care provider network.
Participation in one MedicalRide program does not automatically enroll your company in another or change the commercial terms applicable to another program.
