The provider guide · from enrollment to invoice

Your next patient journey.
From first request to booking.

How MedicalRide works for medical escort, air ambulance and assisted travel providers—every step, with screenshots.

Receive relevant enquiries, choose the services you can offer and send your own prices. Patients compare options; you agree the final arrangements directly.

Free enrollment · No monthly fee · No dashboard login needed to respond

Screenshots use the actual MedicalRide forms with fictional companies, journeys and prices. No real patient information is shown.

Step 01

Tell us what your team can do.

Enroll for one service or several. Commercial airline escorts, airline stretchers, medical charters, dedicated air ambulances and other supported travel services are separate choices.

  1. Your company. Add business contacts and choose email, SMS or both for notifications. You can supply multiple contacts.
  2. Coverage. Select where journeys can begin and end. Your headquarters country does not limit the countries you can serve.
  3. Services. Select your transport options, clinicians and capabilities. Add repatriation services and whether you operate them, arrange partners or review case by case.
  4. Pricing and terms. Review the participation agreement and submit your application.
What happens after enrollment?

Our team reviews your application and the individual services offered. Approval does not mean every selected service is approved, or guarantee referrals. Your approval email includes a private profile-update link and an optional “We work with MedicalRide.org” website badge.

Public profiles require permission and a separate publication review. Let us know if your services, coverage or notification contacts change.

Step 02

A journey arrives in your inbox.

MedicalRide considers approved services and relevant geographic coverage when sending opportunities. We may also contact an independently researched company when additional coverage is needed.

The email gives a journey summary, request reference, disclosed fee and a secure review link. SMS notifications are available according to your saved preferences and valid contact details.

  • Open the link to review the supplied journey and support details. No dashboard login is required.
  • Details are available before you accept the referral terms; direct patient contact information is kept private at this stage.
  • Check your service scope, team and availability. The request is an opportunity—not a dispatch instruction or confirmed booking.
Keep the original email.

The same secure link is your place to quote, follow up and report the outcome later. Do not share it publicly.

Step 03

Send an offer for each option you provide.

If more than one approved service matches the invitation, each has its own tab. A company can offer a commercial-flight escort and an air ambulance with separate prices and inclusions under the same patient request.

  • Enter the total price and currency; choose Estimate or Quote.
  • Describe the team and whether airfare and ground transfers are included, excluded or still to be confirmed.
  • State the assessment and clearance position. An offer is not automatically a clinically approved option.
  • Add conditions, exclusions, validity and an optional quote attachment. You do not need to disclose your internal margins.
  • Check the fee-and-terms acknowledgment, then select Send quote to patient. Each service tab is sent separately.
Need a missing detail?

Use “Need another journey detail?” to ask securely. Or use “Decline this option” if that service is not a fit—other invited options stay open.

Submitting or revising a quote does not create a booking or an invoice. Use the secure form, rather than assuming an email reply will appear in the comparison.

Step 04

The patient compares. You discuss the details.

Your submitted offer appears on the patient’s private tracking page, grouped by transportation method. MedicalRide sends a quote-update email and, when an eligible SMS contact channel is available, a text with the tracking link.

The patient can compare prices, inclusions and assessment status, and select Interested — ask provider to contact me. They can be interested in more than one provider.

Interested is an introduction—not a booking.

Both sides receive an email. The patient sees your business contact details; you receive the direct contact information they explicitly authorize for that journey. Contact them to confirm the service, timing, final price and conditions.

Can you call before they show interest?

If the patient selected phone contact, accept the request’s terms using the calling checkbox. Use browser calling where offered, or dial the MedicalRide number and enter the six-digit extension shown on that request. Browser calling connects the request without manually typing the extension; your own phone carrier may charge for a dialed call.

If they prefer email, send an indicative offer through the form first. If calling is unavailable, you can still quote or ask a question securely.

Step 05

When they decide, return to the same link.

There is no expectation that a first call immediately becomes a booking. Keep the outcome accurate in When the client decides:

Still discussing
The patient is considering the offer. No fee is due.
Not booked / Could not reach
Record what happened. Neither outcome creates a fee.
Report booked
Use only after the client actually agrees to book your company.

Select the service actually booked, enter the agreed initial total and currency, and confirm the booking—not an estimated price. Clinical services also require confirmation of the appropriate professional assessment and required clearances.

Reporting a booking stops further outreach.

The patient can also confirm an agreed booking on their tracking page. A booking can trigger the fee even when final arrangements and customer payment happen directly with your company.

Step 06 · Payment & invoicing

You collect the service price.
We invoice the success fee.

The client pays your company directly under the service and payment terms you agree. MedicalRide separately invoices your company after the initial booking is confirmed and recorded—not after the journey is completed.

Current new-referral terms

3% minimum USD 300

Calculated once on the total initial booked service price, including any airfare, transfers and other services included in that booking.

No booking, no fee. No additional fee simply because the client pays the same initial booking in installments.

When to pay

30 days from invoice issuance

A separate invoice is emailed to your company. Once available, it can also be opened from the original secure request page.

Enrollment and referral-terms acceptance do not authorize an automatic card or bank charge.

Simple USD examples

$5,000 initial booking
$300 fee · minimum applies
$10,000 initial booking
$300 fee
$20,000 initial booking
$600 fee

Illustrative fee calculations, not transport prices. For another booking currency, the dated USD conversion basis and equivalent minimum are disclosed before confirmation. Earlier accepted opportunities—including legacy 5% referrals—keep their original disclosed terms.

If plans change

Cancellations deserve a proper review.

If a confirmed booking is canceled, disputed or materially changed, email support@medicalride.org with the request reference and what happened.

An unpaid invoice may be voided or adjusted after review. A paid invoice needs a credit or refund review; it cannot simply be voided. Cancellation does not automatically cancel the fee. Do not relabel a previously confirmed booking as “Not booked” to erase its history.

Good to know

A few practical questions.

For the full agreement and more detail, see the provider FAQ and enrollment terms.

Do I need a dashboard account to respond?

No. Open the secure link in the request email or notification. Keep that link private and save the email: you can use it again to update your quote or report the outcome.

Can I quote for more than one transportation method?

Yes, when the request invites services your company is approved to offer. Use each service tab to submit its own price, inclusions and assessment. Sending one offer does not send the others. Only the actual initial booking triggers a fee—not every quote or service tab.

Can I give an estimate while details are still unknown?

Yes. Select Estimate and clearly identify what is included, excluded or still to be confirmed. You can also ask a question through Need another journey detail? on the secure request page. An estimate does not confirm clinical suitability, airline acceptance or availability.

What if the patient needs a few days to decide?

Choose Still discussing and return to the original secure link when they decide. A call or an Interested notification is not a booking. Report Booked only after the client has actually agreed to the service, price and arrangements.

Can I reply to the outreach email with my quote?

Please submit the offer through the secure quote form so it appears on the patient’s comparison page. An ordinary email reply should not be assumed to publish a quote. Email support@medicalride.org if you need help.

What if a request is not a fit?

Use Decline this option for an invited service you cannot offer. Other invited options remain available. You are not required to quote every request. To stop future outreach, use the email’s opt-out link or reply REMOVE.

What about insurance or assistance-company requests?

When supplied, the secure request page shows patient-reported insurance or assistance-company information. You may state how you can handle payment or offer private-pay pricing. Verify any authorization or payment guarantee yourself; it is not automatically confirmed by MedicalRide. Do not proceed under a referral-fee arrangement where it is prohibited.

Does approval or the website badge verify our clinical credentials?

No. Network approval, a public listing and the optional badge are not clinical certification, accreditation or a guarantee of availability. Your company remains responsible for its credentials, operating authority, insurance, staffing and clinical decisions.

One service or several. Your choice.
